Online Entry System Guide
Registering
Go to http://www.hinkseysculling.org.uk/club-area/ to register your club with the online entry system. After clicking on the Register your club button you will be presented with a form to fill in asking for details of your club and yourself as the main contact for the club. If you make any mistakes filling this in, don't worry, all the information can be corrected later. The only non-modifiable field that you enter is your username so choose it wisely!
To return to the online entry system later simply go to the same page and enter your username and password at the right hand side then click on Login.
Saving Changes
After changing fields on any of the pages in the online entry system you need to click on the Update button (usually at the bottom of the page) to save your changes. If you click on the cancel link or navigate to another web page without clicking on Update than any changes you have made will be lost.
What To Do
The following instructions outline the process you should go through to enter a competition. Note that the order of these steps does not correspond to the order of the links in the menu on the left hand side of the page.
1. Use Manage Contacts to add contact details for relevant club officers and coaches. It is recommended that you should supply the details for at least one coach who will be accompanying atheletes on the day of the competition. Email will normally be used for communication before the competition; at the competition it is very useful to have a mobile telephone number to use in case of emergencies.
All the contacts you enter can also login to the online entry system to view or modify the club's details and entries. (Provided that you let them know what their username and password is, of course!)
2. Use Manage Club to check that your club details are correct. Some, but not all, of the club details are shown on the Competition page.
3. Use Manage Athletes to add or update the details of your athletes. It is important to add your athletes before trying to enter a race because the athletes are selected from a dropdown menu rather than by entering details directly into the race entry. Working this way allows your athlete details to be stored and to be re-used when entering another competition run by Hinksey Sculling School in the future without you having to re-enter them.
4. Finally, go to the Competitions page, which is the page you land on after logging in to the online entry system, and click on the name of the competition that you want to enter to display the race selection page. This page shows the number of entries you have made into each race and the cost of these entries. It also allows you to select the contacts for the coaches accompanying the athletes. Note that at least one contact must be supplied before you can enter any race.
Use Add entry to create an entry into one of the races listed or View entries to display the entry selection page then Edit entry to update an entry or Remove entry to delete an entry. Your entries can be modified up until the date that bookings close (which is shown on the Competitions page).
The race entry page allows you to select the athletes for an entry via dropdown selectors. You cannot enter athletes directly into an entry; you must enter the athletes first then select them via the dropdown selector. Only athletes eligible to compete in the race should be listed in the dropdown selectors. Some races may require you to enter an estimated time or distance for the entry. If there are a lot of entries into a race then we may use these to split the entries into separate races of approximately equal skill. Please be reasonably accurate with your estimates.
What We Do
When bookings close (on the date shown on the Competitions page) we will generate an invoice for your entries and send it to you. This must be paid before the date of the competition or you may be denied entry to the competition.
